Artcity 2005 TRANS Design Competition Brief

Arcity Festival is a celebration of contemporary visual art, architecture and design, held every September in Calgary, Canada. Artcity opens possibilities for conversations, debates and realizations about how and what artists, architects and designers do and how they see and shape the world around us. In 2005, Artcity Festival will explore the ideas and concepts associated with the term Trans.

Artcity Festival encourages you to become involved in the 2005 city-wide festival by submitting graphic and interactive design work to our competition. A one-thousand dollar prize is on offer!

Competition Brief

In keeping with this year’s theme for Artcity of TRANS, the competition is for designers working in a trans-disciplinary way. Relevant graphic and interactive designers are opening up new spaces between design and art, science, commerce, politics, the printed page, and the interactive screen. A trans-disciplinary approach toward communication is borne of an increasingly sophisticated definition of “information”. Whether it is the informational riot to be found on CNN, or the scientific visualization of molecules, visual design is charged with offering us a peculiar kind of complex clarity: language, performance, maps, composition, art and knowledge all intersect to form this contemporary discipline.

Requirements for Entry

The work may be pre-existing projects submitted for their relation to the theme, or they may be original works produced for the purposes of the competition. We ask that team submissions be limited to five members or less. Submissions may include:

- Poster-sized inkjet prints;
- Interactive websites;
- Flash or Director projectors;
- Motion graphics;
- Composited films;
- DVDs;
- Software.

Artcity reserves the right to reproduce the works for exhibition purposes. All works will be exhibited on three public access 17” kiosk computers throughout the festival. Work will also be projected during a lecture / prize award event; our celebrity judge this year is renowned design educator and commentator Denise Gonzales Crisp, chair of the graphic design department at NC State University.

THE DEADLINE TO RECEIVE ALL MATERIALS IS: AUGUST 1st, 2005.

- All materials should be accompanied by a design rationale that does not exceed 500 words;

- Include all the names of the participants and/or studio name in alphabetical order;

- Clearly indicate any special technical or installation requirements;

- Digital work should be submitted on CDR or DVDR as appropriate; you may submit work by posting it via http or ftp protocol, in co-ordination with the programming committee;

- Disks and hardcopy documents should be sent to:

3.2 New Media Month (Smith) Please be reminded that Saturday, March 19, 2005 is the culmination of New Media Month 2005. Activities will be held at the Lethbridge City Center Foyer with visual performances starting at 8:00 p.m. This event will feature seven New Media faculty submissions; Amrita Desphande, Leanne Elias, Christopher Moore, Will Smith, James Graham, Hei-Young Shin and Gerald Prost. Refreshments will consist of a $2.00 cash bar, sodas, and light snacks.

Bob Cousins has volunteered to help Will set up the screen for the Saturday event.

3.3 (New Media Candidate Search Itineraries) (Clearwater)

Deadline for the Academic Assistant Position and the 9-Month Term Position is March 25, 2005.

3.4 Tom Calvert March 30 & 31, 2005 Visit (Clearwater) David has emailed out tentative schedules for those who will be meeting with Tom Calvert. These interviews will be approximately 45 minutes long.

3.5 Faculty of Fine Arts & Tech Committee (Sirbu) Daniela reported on the recent establishment of the Fine Arts & Tech Committee, which consists of one faculty member from each department: Arlan Schultz (Music), Rolf Boon (Music), Daniela Sirbu (New Media), Michael Campbell (Art), John Farwell (Theatre and Dramatic Art).

This committee has been established to oversee the use of media technology in the Faculty of Fine Arts. The Committee is currently asking for a list of technical assets that belongs to each department in order to facilitate research proposals for each department, based on specific department needs. After lengthy discussion, New Media is hesitant about submitting this list until the directives of the purpose of the committee is clearer and whether this will be used for teaching or research purposes. Davis has suggested submitting a partial list of technical assets when specific research/funding proposals are being drafted.

The committee has identified other technology-related goals:
- increase each facultys web presence significantly
- inform and train interested personnel on the policy and use of the Sound
Recording Studio (properly known as the Audio Research Lab - please email Daniela if you are interested or think you may be able to use the music sound studio.

The following is an email sent to Arlan Schultz regarding the Banff Centre for the Arts Visit on March 23, 2005:

We are working to initiate a program series or enhance some of the current programs by facilitating discussions between our two institutions that we hope will stimulate the creativity of attendees and help generate collaborative activities between artists and researchers at the University of Lethbridge and the Banff Centre.

At this first event Jason Morelyle will be speaking about the Banff Centres programs and the potential for interdisciplinary work/study with the U of L.

3.5 Teaching Supplement (Sirbu) Daniela requested clarification as to whether monies used to purchase necessary software or course specific supplies, is in addition to the instructors teaching supplement or in place of. David replied that we often purchase faculty software with the larger purchase of software for the labs. The teaching supplement is meant to offset costs directly relating to teaching and the delivery of courses. This can include software, books, DVDs, video games, trial copies of textbooks, etc.

IV Items for Discussion / Action
4.1 Policy Regarding New Media Equipment Access and Sign-Out (Gallie) Concerns were voiced with regards to the illusion of responsibility for the New Media department and FFA equipment loaning and it was determined that a policy should be initiated to protect the New Media department specific equipment.

A major suggestion was to propose that the FFA as a whole, purchase one each of all necessary media equipment, which would be loaned to faculty members as needed. This would eliminate the constant outstretched hand to NMED for equipment use. The department might also consider purchasing one piece of sought-after equipment (DAT recorders, high-end video cameras, etc.) that could be loaned to faculty in other departments and keep the majority of equipment for students and use by faculty in delivering courses. We mightas a departmentwant to be strategic and diplomatic with regard to other FFA departments while still protecting the pool of equipment.

David asks that department members give this situation thought and report back at a later department meeting.

4.2 Schedule for Performances/Student Showcase for Next Semester (Clearwater) The department reviewed potential time lines for upcoming New Media events and are taking into consideration advertising information, student artwork submissions and the requirements involved Suggestions included the following possibilities:

4.4 Textbook Orders (Clearwater) Gerald Prost, James Graham and Chris Moore to see David regarding Summer II, III book orders.

In reference to Item 3.3 of the previous minutes – Visit by Electronic Arts Representatives - Will briefly discussed a rude exchange which transpired between a Computer Science student and one of the visiting representatives and indicated he felt it was a poor reflection on the New Media department.

Also, in reference to Item 4.0, and further to the previous discussion – Proposal to Develop New Media Branch Programs – A Curriculum Retreat has been tentatively scheduled for Saturday, April 23, 2005. A suitable location was briefly discussed, and one possibility is Anderson Hall. If any individuals have other suggestions please see David and also confirm your availability for the proposed date.

3.1.1 Applied Arts Magazine - Applied Arts Magazine is holding their 3rd Annual Student Design & Advertising Awards – call for entry deadline is April 29th, 2005. Please see the information email posted on the New Media bulletin board outside of W850.
3.1.2 Rick Casson Petition in support of same-sex marriage – a petition was passed around for those interested in signing. See David or Karen Mahar for this petition.
3.1.3 Tom Calvert SFU Visit – Date still being investigated but it will fall sometime on or between March 29 to April 1.

3.2 New Media Month Update (Smith) Posters are printed and ready to go, Jeff Milner has agreed to distribute the posters in high profile designated areas for remuneration of $50.00. The first New Media month activity is Friday, March 4, 05 - SAAG Opening at 8:00 p.m., this opening will exhibit current and alumni student submissions.

A brief discussion ensued regarding possibly moving the student showing of March 4, to April 1 – Will Smith strongly opposed as there appears to be a sufficient number of submissions for this March 4th evening. It was agreed to keep this date. James Graham will help Will Smith with screen set-up for March 4 & 5. There are some food concerns for the Friday March 4th opening – James will get back to David.

Deadline for submission for the March 19th Faculty Staff Showing is Monday, March 14, 2005. Please see Will Smith for details

Please encourage your classes to attend these openings!!

It was suggested to incorporate, in the Curriculum Retreat, a discussion to design courses that would further educate students for New Media Month Submissions.

3.2 Visit by Electronic Arts Representative – Visitors Dennis Hoffman and Meredythe Spence were introduced and provided a brief overview of the purpose of their visit, potential employment opportunities and the content of their upcoming information session being held at 3:00 p.m. today, in W731.

3.3 Recruiting Evening, Thurs. Feb 17, 7:00 pm (Atrium) Department Representative Needed (Clearwater) David stated, in addition to Jill Flaman, a department representative needs to be present at the Recruiting Evening to answer any questions by potential students. He asked for a volunteer and hearing none, offered to attend.

3.4 New Media Month Details (Smith)
3.4.1 Poster creation – Daniela Sirbu gave a short description of the work her class is doing to create the poster for New Media Month.

Motion: to create 6 oversized posters at a cost of $50.00 each, and 50 - 11 x 17 sized posters to be created at a cost of approximately $150.00. Jeff Milner will distribute posters to acceptable locations. Graham/Smith

3.4.2 SAAG Opening and Program set-up on March 4th, 2005 is good to go, per James Graham.

3.4.3 Christ Moore indicated he will need 2 projectors and a screen for his set-up on Saturday, March 12, 2005 for his ‘Scape Performance in W420 at the U of L.

3.4.4 Will indicated that the SAAG Open Call on Friday, March 18, 2005 has been omitted from the monthly minute calendars and asked that this date be included. Chris Moore will be adjudicating works.

3.4.5 Amrita Deshpande has contacted Will Smith to have a piece of her work displayed in the non-juried Faculty and Staff show. Approved.

3.4.6 Saturday March 19, 05 – Lethbridge Faculty and Staff Show – City Center Foyer. David will be bartending (wine only). The department needs to investigate obtaining an alcohol permit.

3.5 New Media 4850N Resources (Smith) Will Smith presented the need to purchase costuming that would accommodate special markers, for the MOCAP workshop. David will look into the purchase of this material at a cost of $1000.00 each – 4 suits being requested. These will be used for teaching purposes only. Sizes being investigated.

3.6 Tom Calvert (SFU) Visit (Clearwater) – Tom Calvert will be on campus March 29 – to April 1st, 05. and will be meeting with each New Media Faculty Member individually. Karen Mahar will arrange meeting times for this visit.

4.0 Proposal to Develop New Media Branch Programs (Graham) James suggested considering developing, New Media programs. Discussion included; an agreement in principle in developing New Media specific courses, the suggestion of creating strategies that would attract students and faculty and a further discussion of the direction the department would like to go with either the production of a more technical based industry directed at students, or more art-based streamlined directives.

3.4 Introduction of New Director of IT –Calvin Barnes (2:00 p.m.) (Clearwater) Introduction of the new Information Technology Director, Mr. Calvin Barnes. Calvin gave an overview of the objectives and direction he would like to see implemented in the future. He further indicated he would be formulating an I.T. Steering Committee for future endeavours and encourages participation from all faculty and staff members, indicating he values their input.

Due to software loaning issues combined with student Internship opportunities it was decided that there should be ‘no software loaning for Internship students working in an environment where they do not have the necessary software’.

David will prepare two policies to present at the next department meeting regarding:

4.4 New Media 4850 Department Support (Smith) Will Smith publicly

The New Media department has a slightly higher academic probation average than normal. These students came in strong and there does not appear to be any reason why their GPA is lower. Incoming portfolios and GPAs were in the higher range on admission.

4.4 Camera Repair (Fai) Nick reported that the older cameras and existing equipment are beginning to wear out. Some cameras are out for repairs and currently there are two cameras being fixed, where the bill is close to the purchasing amount. Nick is waiting for an estimate on a third camera.

David and Nick will discuss purchasing new cameras and report at a later meeting.

4.5 Artist Talk and Possible MAX/MSP workshop: Ian Birse and Laura Kavanaugh (Moore). Christopher has been in correspondence with artists Ian Birse and Laura Kavanaugh from Calgary and has been approached for the department to sponsor a Visiting Artist Performance with these individuals. Christopher will explore this possibility and obtain more information for further discussion at a later date.

3.1.1 Faculty, please remind students about the newmedia-l listserve and how important it is for students to register with it. Important information and job postings will come via this route in the near future. The department will also be looking for an additional student representative and will run this nomination process again. Students will be notified through the newmedia-l listserve.
3.1.2 W850 – Due to internal issues, David has reminded the faculty members that support staff in W850 report to and perform labors on behalf of the Chairs’ of their respective departments. In addition, any requests approved by the Chair and forwarded to the Support Staff need to be directed to the Administrative Support designated for their department. Please adhere to this policy.

In regards to mail service issues the following motion was made:
Motion: To establish a mail process for the New Media Department that would entail outgoing mail or packages be correctly packaged and addressed by the faculty member before being brought to the New Media Administrative Support, whereon, a New Media designated FOAPAL number would be affixed to the outgoing package and sent to Mail Services. A tracking number (when available) will be provided back to the faculty member to monitor the items whereabouts.

3.2 New Media Month (Smith) (Please refer to the December Calendar handout) Will Smith reminded the department about the upcoming March 2005 schedule. The SAAG Opening on March 4, 2005 is solid.

In addition, Will handed out a planning guide/questionnaire for any submissions for the March 19th Lethbridge Faculty and Staff Showing. Please take a moment to fill this out and return to Will Smith as soon as possible and no later than December 6, 2004 as he will be gone shortly after this date for the holidays.

As well, Will has supplied a Descriptive Review – (which he uses in his classes) for those who are considering a submission for the New Media Month activities.

3.3 November New Media Concert (Smith) Will indicated the attendance for the November 19, 2004 New Media/New Music Concert was the same as last year. Future consideration regarding ticket prices and continuation of this series will be discussed at a later meeting.

3.4 Extended Lab Hours (Fai/Clearwater) Nick reported the extended lab hours for the end of the fall 2004 semester are as follows, beginning December 4, 2004:

3.6 Green Screens (Fai/Clearwater) Because the current green screen is in bad shape, two other screens were ordered and received but have been deemed inadequate to fit the needs of the New Media Department. These screens will be returned and a new one will be purchased. Until then, the department is back to having one screen which is housed in W700.

3.7 NMED 1000 (Smith) (Please refer to the NMED 1000A Student Aut 2004 handout) Will provided this information for consideration and possible use in recruitment and curriculum issues.

3.8 Art Now (Graham/Clearwater) Victoria Baster indicated that she is interested in opening up Art Now speaking spaces for individuals who are related to New Media. If you have ideas or names for incoming and visiting speakers, please forward your information to David.

4.1 New Media Capital Needs (Moore) Please submit any proposal
information to Christopher Moore preferably before all dissipates for the holidays.

4.2 MOCAP Session conflict with Classes (Smith/Graham)
Because MOCAP equipment will be removed from the premises during the holidays, and not available for the first day of classes in spring 2005, Will Smith indicated that the first day of his Motion Capture 4850A class will be cancelled. He will notify his class of this.

4.3 Film & Video Equipment, Distribution Concerns,
Facility/Staffing Needs (Gallie) Terry reported that proctors are having a hard time with all of the lending out and returning of camera and lighting equipment. He further indicated that storage is an issue.

A brief conversation ensued regarding the possibility of hiring a student technician. [finincial details removed] Other day and hour combinations as well as sign out systems briefly discussed, with no decisions made. David will look into where this budget allocation will come from if this becomes a firm solution.

V Other Business
5.1 Recruitment (Flaman) Jill reported that she has visited Calgary and Edmonton recently and is awaiting feedback from these presentations. She further indicated that she would be recruiting again in the early spring semester.

David suggested Jill work with Christopher on updating the web page and including recruitment information.

5.2 Internship Information (Pickering) A committee-like approach has been initiated for the small percentage and occasional Student Internship that falls outside of the norm. This ad-hoc committee will consist of the Chair, Anna Pickering and another individual whose specialty is along the lines of the intern.

5.3 Condolences offered to Bob Cousins regarding the recent passing of his father.

5.4 Condolences offered to Jill Payant regarding the recent passing of her brother-in-law.

5.5 Congratulations to Amrita and Sameer Deshpande on the recent birth of their son, on November 19, 2004.

III 3.1 Chair’s report
3.1.1 Budget – Margot O’Donnell has informed the Chair the department has reached their maximum spending for the year with an approximately $4,000.00 balance left. Recent spending has included the purchase of needed software, lighting kits and microphones. David indicated the department budget needed to be reworked to include some changes in department spending such as with a travel budget, etc.,

3.1.2 Dean’s Advisory Meeting, Wednesday, November 3, 2004 – Per the request of the Dean please provide a list of five (5) bulleted description items of what the NMED faculty would like highlighted regarding the direction and mandate of the department. This will be presented to the University President and Public Relations Office.

The following suggestions were made regarding the;

at the U of L which includes all art integrations.

Focus of qualities and characteristics in our graduates

Please forward to David any additional suggestions that you may have.

3.1.3 Markers & TA’s – A recent discussion briefly touched on Faculty policy, but did not fully explore the issues with TA’s. Such positions for the department are an issue of budget allocations and will be better addressed when budget concerns are alleviated.

3.1.4 Theatre Department Bookings – Leslie Robinson-Green informed David of new department policies arising in Theatre and Dramatic arts regarding the booking of facilities, which states that booking dates for the various theatre venues could not extend further than 2 years in advance.

3.2 Music, Machines and New Media (Smith) All department faculty, staff and student representatives are entitled to one complimentary ticket to the Music, Machines and New Media concerts on November 12 & November 19, 2004. Please contact the Box Office in advance of the concert date to receive your complimentary ticket. As in keeping with new policies no complimentary tickets will be issued at the door.

Performances dominated by New Media submissions.

3.3 New Media Month (Smith) City permit for functions on March 5th & March 19th, has been received. Faculty asked to submit work for the Lethbridge Themed, November 19th presentation in the City Center foyer. Please see Will for submission information, questions or concerns.

3.4 Funding Proposal (Graham) James reported that the Dean and other department members had recently met with the head of a Canadian animation firm who expressed a solid interest in the New Media department, curriculum, its faculty and students. It was suggested that the New Media department draft a proposal to this company for a possible contribution. Daniela produced and submitted to David, a proposal for the Animation Course in regards to this matter.

David has asked for an informal and optional meeting with any available department members to develop ideas and begin work on a proposal. This meeting date is scheduled for Friday, November 5, 3:30 p.m. in W866.

4.1 New Media-L List Serve (Clearwater) A newmedia-l list serve has been created to accommodate information emails to the entire new media student body. This list serve will be by an optional sign-up method (specific information will be forwarded to the whole New Media student body later today) and will be used for administrative purposes only and to transmit important department information.

3.1 New Media/New Music Concert Update and Reminder (Smith)
The call is still out for NMED submission for the New Media/New Music Concerts, scheduled for Friday’s November 12 & 19th, 2004. The deadline date for faculty or student submissions, is 12:00 noon, Oct 29, 04. As general reminders, please inform your students of the submission deadline, also, encourage them to purchase their tickets in advance. There will be no complimentary tickets given to this event. If you have any questions or concerns – see Will Smith.

3.2 Nomination /Election for Student Representative (Clearwater) Regarding the New Media Student Representative Election email that was sent to the New Media Student Body on Tuesday, October 12, 2004, nominations for one (1) Student Representative will commence on Tuesday, October 26th, 2004. Forms may be obtained from Jill Payant in W850. Email election for the nominated candidates will commence on Tuesday November 2, 2004 and ends at 4:00 p.m. that day. Election emails are to be directed to Jill Payant at jill.payant@uleth.ca. Please remind your students to vote. Jeff Milner remains as the 1st of two Student Representatives, for continuity sake.

3.3 New Media Student Society Update (Clearwater) A number of first year students are trying to organize this society. They have had one meeting thus far, with approximately 10 people in attendance. Please inform your students and encourage them to participate.

3.4 Student Tutorial for Incoming Students (Clearwater) Brian Lutchmeesingh will be presenting a Student Tutorial designed for first year student on lab usage and protocol on Saturday, October 23, 04.

3.5 Protocol for Incoming Faculty (Clearwater) A detailed orientation list for incoming faculty was produced and forwarded to the existing faculty for their input. Faculty comments and itemized additions will be included and an updated draft will be presented at a later date.

3.6 Spring 2005 Timetable Now Online (Clearwater) Spring 2005 Timetables are apparently now online, but include minor errors with course assignments, which will be corrected within the next few days. David needs to firm up course assignments for fall 2005 and to this end, sent around an information sheet outlining fall 2005 and spring 2006 course assignments. He has asked faculty to review this material and will shortly be arranging appointments with each member to discuss the current outline.

3.7 MOCAP – Will Smith reported that there would be a movement component with the 3D Manipulation Unit. David has asked Will to write an explanation of the movement component.

3.8 Graduation Update (Smith) James Graham, Anna Pickering and Will Smith attended Fall 2004 Convocation over the weekend. There were six (6) graduates from the New Media Department.

4.1 New Media Mixer Update & Last Minute Needs (Clearwater/Graham) The New Media Mixer is scheduled for Friday, October 22, 2004 and because of information confusion the start time will be approximately 7:30 p.m.

Guest Speakers Brad Kinley and Michael Wasiak will present for approximately 10 minutes each. The Library will supply equipment for proper sound system.

4.2 FFA Policy for Markers and TA’s (Clearwater) An FFA Policy
Meeting is scheduled for, Thursday Oct 22, 8:00 a.m. with the goal of establishing an FFA wide policy regarding markers and teaching assistants.

David asked that each faculty member reflect on the specific needs of a NMED department policy and has asked each member to submit a short paragraph outlining their current or past use of markers and teaching assistants.

4.3 Curriculum: NMED 1000 (Clearwater) Stricken until next department meeting due to time restraints.

4.4 Food and Drink in Labs (Smith) Concerns were voice with students not adhering to the ‘No Food or Drinks’ policy in the labs, leading to expensive equipment being compromised. Proctors indicated policy is difficult to enforce due to student non-compliance and proctor disrespect. Will Smith encouraged the dept as a whole to report any infractions. It was strongly suggested to reinstate drink tables inside labs, near doorways, where students can leave snacks visible, eliminating the need for foodstuff near workstations. It was also acknowledged that the Breakout Rooms are in close proximity to the labs for those who need a refreshment break.

Motion: For the faculty to become more pro-active in supporting the No Food and Drink Policy in Labs. Smith/Pickering

3.1 Chairs Report (Clearwater) Security Services has indicated that W850 has been left opened and unlocked after regular business hours on numerous occasions. If you are using this room for slides or printing purposes, please remember to lock the door behind you to avoid theft.
3.1.1 A policy for faculty wide markers and teaching assistants will be added as an Item for Discussion in a future department meeting.
3.1.2 There has been discussion regarding hosting a Grand Opening for the Recording Studio in W700. Linda Nicol suggested waiting until the studio is up and running and tie it into Recruitment efforts.
3.1.3 For your information the claim forms (expense, departmental, professional supplement, etc.,) will be going on line shortly for easier access and submission.

3.2 Recap of Lighting Equipment (Gallie) Please refer to the Breakdown of Lighting/Audio Equipment Order handout from Terry, for specific quote amounts. Material Management is holding the Purchase Order until competitive quotes can be assessed.

3.3 Recap of Maya Order (Clearwater) David indicated the
information regarding the Maya order would be available within a couple of weeks. James indicated it was essential that he have the information as quickly as possible, as his class will be accessing the program before the end of the fall 2004 semester.

3.4 Visiting Artist (Graham) James announced that an invitation sent to White Iron Digital to attend the forum featuring the recent visiting artist Zoran Kačić-Alesić had been accepted. The attendees were impressed with their visit and indicated they would be available to visit the university sometime towards the end of November or beginning of December and could bring with them, compositors, animators and technical directors. No dates are firm and no fee has been assessed.

Relic Entertainment is aware of the U of L MOCAP system and interest was expressed in collaborating with the New Media department. James stated an opportunity might become available for an exchange process in services and student involvement.

V Items for Discussion/Action
4.1 New Media Mixer Committee (Graham) The New Media Mixer is scheduled for Friday, October 22, 2004 from 7:00 – 11:00 p.m. and will be held in the Student Union Ballrooms A & B. Food will be supplied by the new Bistro restaurant and will include trays of pizza, appetizers, soft drinks and a cash bar. Water cooler will be provided.

A volunteer decoration committee will be organized with about 4 students and will have access to decorate the rooms one day prior to the event. Any decorating is allowed with the exception of punching holes in the sheet rock.

Students are allowed to bring an off campus partner but tickets will need to be obtained prior to the event.

Guest speakers may include alumnus Brad Kinley, Nate Smith and Kristy Sorgaard.

James is still looking for donations for the usual prize draws. Please see him if you have anything to donate.

4.2 New Media/New Music Call for Work – (Smith) The Music, Machines and New Media concerts are scheduled for Fridays, November 12 & 19, 2004. Deadline to submit work is at 12:00 p.m. on Friday, October 29, 2004. If you have any questions see Will Smith. New Media has allocated $500.00 for their portion of the fees.

4.3 New Media Month – Advance Publicity and Implications of Cutback (Smith) – Brief comments circulated regarding the promotion of New Media Month (March 2005) in the OSAG. Activities have been scaled back to focus on curriculum planning. The following are scheduled dates during New Media Month that will commence: Friday, March 4, 2004 SAAG Opening, Saturday, March 5th, 2005 – Lethbridge/Alberta Celebration and Saturday March 19th, 2005 Lethbridge Faculty and Staff Showing.

Work submission process briefly discussed. Adjudicating process will be initiated.

4.4 Sound System in B520 (Fai) Complaints were voiced regarding
equipment in these rooms being relocated and inadequate sound systems in both B519 and B520. Nick is currently investigating the cost of purchasing a receiver and speakers and has presented a quote between $850 – $900.00 (US). David has asked that he continue to compare quotes and report his findings at the next department meeting.

It was also suggested that the department institute a policy that equipment designated to a specific lab be left in its place. The department will be looking at equalizing both labs (B519 & B520) to create compatible work environments.

4.5 New Media Web Presence (Moore) Chris presented strategies on
increasing the profile of the New Media Department Web and has asked the department members to submit any ideas they may have as well. Suggestions included interactive student portal showcase webpage, rotating front page and a faculty portal web page.

Motion: To strike a committee to help in the creation of a New Media Web Presence. Smith/Flaman

4.6 New Hires – NMED staffing Plan (Clearwater) – David presented
a New Hire plan for the next two years indicating an academic hire for 2005 and another in 2006. The department was polled on their input as to the type of individual needed. It was suggested a ‘generalist’ would be an excellent consideration and could facilitate filling the current holes in the curriculum. FFA in general needs to consider more service courses to be available for non-majors as well as the future possible MFA.

David will be emailing the department as a whole, outlining the collective needs and ask for feedback from the department members.

4.7 Portable Audio Gear (Fai) Nick Fai presented the price tag of a
portable audio gear unit, at $900.00 but which is currently on sale for $700.00. Comments included the statement that the above-mentioned article is well worth the cost because of if its traveling/transportation capabilities. David and Nick and will discuss the specifics and present more information at an upcoming department meeting.

4.9 Mass Student Body Emailing – Anna Pickering currently has a

Anna has asked that an alternative method be created to facilitate mass student body outgoing emails in order ensure the specific nature of this specially created list serve.

4.10 Recruitment DVD (Flaman) Jill F. has asked the department to
submit strong student works to be used in a Recruitment DVD currently being created. A special emphasis will be placed on Cinematography and Net Art.

4.11 Accommodation for Special Needs Students (Cousins) Concerns
were expressed with the heavy-duty special needs requirements for certain students, specifically necessary during testing periods. It is recognized that each student is important and that specific criteria conducive to a positive testing experience should be made available. However, the responsibility of instructors having to set up and over-see special needs testing procedures is being challenged, especially for instructors with a large number of enrolled student’s.

It was suggested that it is the student’s responsibility to arrange with the instructor, in advance, the distinctive measures necessary for their testing procedures. It was further suggested that instructors include directions in their syllabus to inform students of their course policy and procedure.

The University Bookstore will begin processing returns of remaining Fall 2004 inventory on November 5th. Students who have not yet purchased their textbooks for the Fall 2004 semester, should do so before November 5th, because the Bookstore cannot guarantee stock after this date. For those students who come into the Bookstore after this date, finding we don't have the stock, it will take approximately 2-3 weeks for a re-order to arrive in the Bookstore.

New Media Student Representative Election

I'll try and keep this brief, but please read through this entry as it does affect you. Currently I am the only Student Representative for the New Media Program, however the faculty has asked me to find an additional representative to help better represent the student body.

If you are interested in taking on this responsibility, then as a representative, you would act as the ears and mouth for students in the program. Your obligations would include regular attendance of department faculty meetings and various liaison duties such as reporting back to the student body on issues of importance.

In order to be elected as a representative you must first be nominated by at least one student other than yourself. As a nominee you must also agree to be nominated and must sign the nomination form. The nomination forms for the student representative's position is available from Jill Payant's office between 10:00 and 4:00 pm on Tuesday October 26th. If you are a nominator, please fill out the form
and have the nominee sign it before the deadline.

The nominees will have a chance to send out an email to the student body and the election will be held via email on Tuesday November 2nd, 2004 - voting ends at 4:00 pm.

Third Annual New Media Mixer - October 22nd, 2004

3.2 New Media Summer Camp Update (Clearwater) David reported the
over-all profits for the New Media Summer camps are meager at best. The 2002 camp reflected a loss, while the 2003 & 2004 camps reported a profit. Profit made is streamlined towards Abbondanza funds.

3.3 Library Purchases (Books serials, DVD’s) (Clearwater) For purchases see Glenna Westwood, FA Librarian.

3.4 Use (and abuse) of Administrative Staff (Clearwater) David reminded the
department that the Administrative Support, according to the position’s job description, acquires work requests from the Chair. If department members need help with a specific task, please see the Chair to have the request approved.

For incoming new department personnel, a packet outlining orientation needs will be compiled and distributed to help with the integrating process. A University contact list for new employees will be presented for a future Item for Action.

3.5 Lab Upgrade Update (B5 Labs, PE 244 and others) (Clearwater) Labs are
looking great, however, lighting remains an issue in B520. It was decided on a specific set of lab rules to be initiated – this item will become a future Item for Discussion/Action soon.

If you teach in these labs and would like to submit a list of changes or suggestions, please see Will Smith.

4.0 Microphones have been purchased and a cost for window blinds has been submitted, also to be discussed at a later date.

3.6 Course Incompletes (Clearwater) Course incompletes are to be submitted
for medical reasons only. This decision came out of the September 15, 2005 Advisory Meeting.

3.7 Exam Dates (Clearwater) All scheduled exam dates are considered firm
and unmoving.

3.8 Spring 2004 Timetable (Clearwater) If anyone has special needs for the

3.10 University of Magdeburg Exchange Program (Clearwater) Two German professors are visiting Alberta institutions and are trying to set up an exchange program between the U of L and the University of Magdeburg, with a special interest in NMED. Long-term project.

The Allied Arts Council of Lethbridge would like to present an exhibition opportunity to students in the senior studio program at the University of Lethbridge. The AAC manages 3 exhibition spaces: 2 galleries at the Bowman Arts Centre and one in the Yates Memorial Centre. Our mandate, under the auspices of the AFA, is to exhibit the work of local, regional and provincial artists, regardless of media or content. The AAC has had an unexpected cancellation in our exhibition schedule for January 2005, and in conversations with the Director about how to fill the void in our schedule, we decided we would like to give the initial opportunity to a group of students in the late stages of their undergraduate arts education.

The block of time we are looking to fill is from January 6 - February 19, 2005, in the 2 galleries at the Bowman Arts Centre. If you were interested, Suzanne Lint, the AAC Director/Curator, and myself would do studio visits in late October, and again at the end of the semester for a final works selection. Our idea would be to select a broad theme and then build an exhibition from amongst the works the students are producing. The AAC would, as with every exhibition, take care of invitations/promotion, installation, as well as hosting an opening reception and a nominal artists' fees payment. If instructors would like more information, don't hesitate to contact me. Please let me know whether you would, or would not be interested. Student Position Available

The Department of New Media is looking for a qualified student to act as a Teaching Assistant for New Media 2020 B (New Media Technology). The ideal candidate would be a third or fourth-year New Media student who is fluent in static and moving image processing and major software packages (Photoshop, Premier, Dreamweaver). As well, the successful candidate will have good verbal communication skills, patience, and other skills necessary to aid other students in a studio lab setting.

The successful candidate must be available during the hours that NMED 2020 runs (MWF, 11:30 – 12:50) and perhaps some outside class time (for a total of six hours per week). This position runs for the remainder of the term (10 weeks) and pays $10/hour.

In your letter of application, please indicate your level of computer proficiency, software packages you are fluent in, and, if applicable, those courses that you have taken in the Department of New Media.

Deadline: Letters of application must be dropped off in W850 by 4:30pm on Friday, Oct. 1, 2004.

During the last department meeting I volunteered to be a part of the New Media Mixer committee. This means that I will have a lot of say with regard to how our annual Mixer will be organized. I'm open to suggestions, so if you have any, please leave a comment along those lines.

So far we are planning to have the mixer the 2nd or 3rd weekend in October. It will be held at the Bistro (formerly known as the Zoo) and from the sounds of it the food will be a little more plentiful than in years past. We are also planning on 16 player Xbox, Gamecube, and PS2. If you have an Xbox and 4 controllers and would be willing to bring it for a good cause, we could use it. Please get in contact with me.

The University of Lethbridge Discovery Lecture Series, in partnership with iCORE and the Alberta Ingenuity Fund will present “CREATURES AND PIXEL DUST: The Art and Science of Visual Effects” with Zoran Kacic-Alesic a former Calgarian, U of L honorary degree recipient, and Computer Graphics Principal Engineer at Industrial Light & Magic.

3.2 New Par Deadlines (Clearwater) Sept 15th, 2004 is the deadline set however paperwork may be submitted in advance.

3.3 New Faculty Hires – Subject area. (Clearwater) Ches indicated the department would be in a position to hire another faculty member next year. No word on what subject they will teach yet, but please see David for any subject area suggestions or input you may have. Formal discussions regarding this upcoming position will begin shortly.

3.4 Visiting Professor Hei Young Shin, Department of Character Design Youngsan, University Korea. (Clearwater) Please refer to attached email letter from Professor Shin dated July 27, 2004. This instructor has been formally invited to the University of Lethbridge and will share office space with Amrita Deshpande in W882. This is considered a sabbatical study for her.

3.5 Spring 2005 Course Assignments (Clearwater) Please refer to the timetable distributed during the department meeting and review carefully. If changes are required please let David know so the Registrar’s Office can address the changes. Subjects must remain as they are.

3.6 Installed Applications in AH/B5 Labs (Clearwater for Fai) Please refer to Software Installed in the AH Labs and Software installed in B519/B520 handouts distributed during the department meeting. Gerald Prost asked if it were possible for clips to be added to these New Media computers and was told to see Nick regarding this possible installation.

3.7 Bookstore Orders, Course Outlines, Spring 2005 Textbook orders (Clearwater) Please remember to take a walk up to the bookstore to check and make sure the book you ordered for your fall class is on the shelf. Also, Spring 2005 Textbook orders have been in your mailbox for a few days now if you are teaching in the spring. Please have those forms completely filled out, signed by the Chair and returned to Jill Payant in W850 no later than Friday, September 17, 2004, to avoid rising late charges. As well, a Course Outline of each of the courses you teach must be submitted to the Dean’s office to be kept on file. Please drop this off to Jill Payant in W850 as well and she will see it is kept for future references.

3.8 New Media Month (Smith) For departments information, March 2005 is designated as the high profile New Media Month David has set aside approx $10.000 for potential use.

3.9 New Media Camps (Milner) Jeff Milner reported on the success of the recent 4 New Media Camps offered to youth whose ages ranged from 11 – 17. These camps were one-week sessions during the month of July and included teaching students to write, shoot, edit film, and screen their product. There were approximately 10 – 14 children each week. Students created a DVD, which they were able to keep. This was considered a great experience in production management for the U of L students involved with the camps. Equipment wise, things looked pretty good. A brief discussion ensued regarding recovery and profit. It was suggested an honorarium be given to Jeff Milner and Keli Thomson to produce a curriculum guide and information packet. David will continue his discussion with Jeff and Keli.

3.10 Regularly Scheduled Department Meetings (Clearwater). No firm semester date was decided upon at this meeting however, the department agreed to meet the 1st & 3rd Wednesdays of every month at 1:00 – 1:45 p.m. starting September 15th, in room W866 if possible until a better time could be found.

IV Items for Discussion
4.1 New Media Mixer (Clearwater) James Graham and Gerry Prost have agreed to organize the annual New Media Mixer, which may be held sometime in September. Location appears to be an issue but the following suggestions were proposed: The Student Union bldg, Indian Battle Park area and the 5th floor University Theatre Lobby and adjacent large class rooms. Please contact James or Gerry if you have gently used New Media software and items to donate as raffle draws.

4.2 Curriculum: Standardization of Intro Courses (Clearwater) Item to be addressed this year, the department is looking for ways to standardize New Media 1000 (and other first/second year courses) and various other aspects are to be examined in future meetings. Curriculum committee struck consisting of the following individuals: Christopher Moore, Will Smith, Amrita Deshphande, Daniela Sirbu and Terry Gallie. This item will become an Item for Discussion on the next agenda.

4.3 New Media Student Society (Clearwater) Student Representative #2 vote will commence after the beginning of classes and will facilitate the organization of the New Media Student Society. The New Media Student body to be notified as to the specifics once the organization is underway.

4.4 New Schedule for lab Computer Purchases (Clearwater) Computer replacement program will commence to be a three-year purchase plan, possibly freeing up monies to allocate to other purchases. See David or Nick Fai for further explanation.

4.5 PAR Evaluation Criteria Standardization or Codification (Smith). Will is concerned that current methods for evaluating PARs and research does not adequately address the specific interests and activities of those working in New Media. Will distributed copies of evaluation criteria from other faculties and suggested the department consider the issue more carefully. Will offered to act on this and would appreciate input from other faculty members.

4.6 Camera Use for New Media 2020 (Deshpande) It was decided that the New Media course 2020 in question would not have access to the department owned cameras since AH labs do not have firewire inputs, because it adds another level of complexity to the delivery of a introductory course for non-majors, and to avoid conflict between other NM 2020 offerings. Suggestions included looking to the possible use of the Library equipment or consultations with James Graham and Gerry Prost regarding visual imagery.

4.7 W700 Usage Policy (Clearwater) The Music Dept has developed a Policy for the use of the Music Studio located within W700; please see David to review this policy. For New Media students who want access to W700, each instructor must submit a request in writing to David with a beginning and end date for each student along with their name and I.D. number. David will then forward the information to Jill Payant. Jill will process the necessary documentation. Each student should be advised to have their card scanned by the Security Department. When Security has received written authorization, the student’s access will be activated and will automatically terminate upon the last day the instructor has indicated. For further information, please see David or Jill Payant.

4.8 Computer/Software Collections (Smith) A brief discussion regarding possibly establishing a collection of antique software and hardware to give students an idea of various software usages, past and present. Minor concerns included: proper storage, cataloging, record keeping and space issues. The department is not accepting donations yet.

4.9 Maya Discussion (Graham) Please refer to the Proposal: Alias Wavefront Maya Costs handout for proposal and rationale. After extensive discussion, it was decided by many faculty that Maya would be extremely useful and that 51 licenses (for ‘B’ labs/faculty) of Maya Complete and 3 licenses of Maya Unlimited (for W700 labs) would be ordered.

My name is Iain Robinson, co-director of the 4th annual Student Shorts Film Festival. Student Shorts is a national forum exclusively for Canadian part and full time post secondary students to show off their hard work on a big screen, make some industry connections and possibly sell films! The festival offers a friendly and positive environment to young filmmakers from across our nation, a chance to win some incredible industry awards and have their films juried by the people such as Bruce McDonald.

Basic Guidelines:

- To submit your work you must be enrolled full or part time at a Canadian post secondary institution.

- Submitted work must be no longer than 30 mins, and can be shown on miniDV, DVD or 16mm (optical or silent)

- There is a $15 registration fee to help cover our costs. This fee must be paid by either money order or certified cheque.

Meeting Summary

Here is a summary of the last two faculty meetings that Mike and I attended:

1. A New Media conference to be held at the University is under way. It appears to me that it will happen sometime in the next year. If you have a suggestion of a speaker to bring in for the conference, please let me know.

2. I brought up concerns about instructors following their course outlines, usage of professors in the CanWest Labs, and having the lab hours extended start sooner giving more time to work on final projects.

3. A working budget of $500 has been allocated toward next seasons New Media Concerts.

4. The loan form for equipment is under revision. It looks like the rules for loaning equipment are going to be strictly enforced which will mean more access to equipment and a greater responsibility of the borrower.

5. Motion Capture Workshop on March 20th, from 12-4. Senior students sign up at Will Smith's office.

A dancer will be coming from Calgary at 2 pm, so there will be a mix of learning and real hands-on exposure during the day. Minutes # 16 reflected a request to purchase a wireless mouse with a 50 ft. radius in the amount of $250+. It was decided to use a currently owned mouse with a 10ft. radius and a USB extender

Visitor Ches Skinner briefly spoke encouragingly on the possibility of an upcoming New Media Conference. His comments included;

III Items for Information
3.1 Department Web Maintenance (Prost) Gerry proposed and was accepted to take over the maintenance of the New Media Web Page for the upcoming year and was thanked by all previously involved.
3.2 School Visits (Prost) Kabatoff has made one school visit to
Strathmore on February 26th. There are two more dates currently planned, Calgary Convention Centre, Alberta, an all day event, and March 24th, 04, University of Lethbridge, Recital Hall, an all day event.

It was suggested that a New Media specific DVD be created to aid in recruiting purposes. Kabatoff indicated that he has already created a New Media DVD that could be used as a presentation tool. He will present it at the next department meeting.
3.3 Software for 2004 (Fai) Nick reported that Dreamweaver 4 in the
computer labs are not being updated by I.T. and indicated that he would investigate an accurate cost estimate to update the software. He will present his findings at the next New Media meeting. Nick also requests that all faculty members email him any software requirements for Fall 2004.
3.4 Professors and Procedures (Milner) Student Representative Jeff
Milner presented concerns from students that course syllabi seemed to be considered flexible and changeable. Students are concerned with accurate dates and paper due dates being changed mid-semester. Carl reiterated to the faculty that all syllabi are contracts with the students and need to be strictly adhered to. It was suggested that students be given a week after classes begin to consider the content of a syllabus and discuss any concerns with the instructor, with in that time period.
3.5 24-Hour Access of Canwest Global Room (Milner) It was
presented that certain students question the use of classes occupying the Canwest Global room, which may restrict individual student use. Such concern was considered a non-issue due to the fact that all who require access to the Canwest Global room are accommodated.
3.6 Lab Hours (Milner) Students have requested the extension of lab
hours for weekends and the weeks preceding the end of the
semester. Nick will investigate further and report changes at the next meeting.
3.7 Timetables (Granzow) Carl presented a 3-year Timetable plan and
asked the department to review before the next department meeting. It was stated that the MOCAP course number of 4850 is incorrect.

IV Items for Discussion/Action
4.1 Visiting Professor Hei - Young Shin, Korea (Granzow) Will Smith will contact this instructor on behalf of the New Media Department and will report back to the department specifics regarding this potential liaison.
4.2 2003/2004 New Music/New Media Concert Series (Smith) Motion: To allocate a working budget of $500.00 from the New Media department to accommodate the next season of joint concerts. Smith/Prost. Carried.

Proposed dates are November 19th and 26th, 2004 and could potentially be used as entertainment events for the proposed New Media Conference.
4.3 Camera Loan Forms with Access Privileges (Gallie) Please refer
to enclosed Camera Loan Form. Discussion arose regarding
~ Additional paragraph indicated acknowledgment of physical damage
~ Rewording of paragraph # 2
~ Incurring a potential damage deposit system
~ Banning privileges when necessary.

A committee consisting of Nick Fai, Terry Gallie and Anna Pickering has been established and will alter and present the existing loan form at a later date.

4.4 VHS with Firewire Connectivity (Fai) Nick indicated that New Media has been approached by I.T. to help in a 3 way split purchase of a VHS player with firewire connectivity. Instead the following motion was passed;

4.5 New Media Conference Proposal (Kabatoff) Please refer to the attached Two Conference Topics from Banff and the U of L New Media Conference Proposal handouts. Lengthy discussion ensued regarding the specifics of the potential New Media Conference to be held at The University of Lethbridge. Concerns voiced include but are not limited to the following:
~ Concerns with branding the conference with an affiliation to Sciences
~ How to combine creativity and sciences
~ The focus of a keynote speaker
~ General comments on conference promotion
~ Purpose of conference

Adobe Wants You: Adobe launches 2004 student awards

Attention all students: Adobe wants you. The San Jose-based company has just launched its annual Adobe Design Achievement Awards. The idea here is to nurture promising design talent in currently enrolled in post-secondary education courses in North America and the UK. Do note, however that residents of the Province of Quebec are excluded. Of course, submissions are expected be produced primarily using Adobe products.

Between 1 April and 17 May 2004, students can submit work in the categories Time-based Media, Print, Illustration, Photography, and Multiple Media. If you work as part of a group, you can also enter the Print Collaboration and Digital Collaboration categories. Category first prize includes a cool bit of wedge: $5000 worth to be exact, plus a trip to San Francisco for the awards event, including airfare and hotel. Of course you also get to pick one of ten Adobe products.

Judges include Andrew Blauvelt Design Director of Walker Art Center in Minneapolis, Carol Bokuniewicz, Founding Partner at M&Co in New York, Karin Fong, Director and designer at Imaginary Forces in Los Angeles and Lucille Tenazas, Principal at Tenazas Design in San Francisco. The panel’s chair is Alexander Gelman, Founding Partner and President of Design Machine in New York.

Judging takes place in early June, and the awards ceremony will be held 29 June at the Yerba Buena Center for Arts in California.

My name is Iain Robinson, co-director of the 4th annual Student Shorts Film Festival. Student Shorts is a national forum exclusively for Canadian part and full time post secondary students to show off their hard work on a big screen, make some industry connections and possibly sell films! The festival offers a friendly and positive environment to young filmmakers, a chance to win some incredible industry awards and have their films juried by the people such as Bruce McDonald.

Basic Guidelines:

- To submit your work you must be enrolled full or part time at a Canadian post secondary institution.

- Submitted work must be no longer than 30 mins, and can be shown on miniDV, DVD or 16mm (optical or silent)

- Send your submission form and VHS preview tape by June 1st. For more information and to download a submission form or fill out an electronic one, visit www.endless-films.com/shorts.htm and follow the Student Shorts 2003 link

- There is a $15 registration fee to help cover our costs. This fee must be paid by either money order or certified cheque.

- Other events, like last year's successful panel discussions, are currently in the works and should be scheduled at the National Film Board shortly.

New Media Department Meeting This Friday

There will be a department meeting March 5th at 10:30 in W850. I am planning on bringing up the following topics:

- Professors following procedures as outlined in the Student Union Calendar www.uleth.ca/reg/calendar/part04.pdf Page 74 section f subsection 2. That is to say providing course outlines in a timely manner and staying true to them: Grading System, Weights and Dates, Missed Examinations, etc.

- Use of the CanWest Global labs for classes instead of being reserved for 24 hour a day student use. I'm not sure if there is anything that can be done about this but I at least want to let the faculty know that students believe the CanWest Labs are reserved for them 24 hours a day.

- Lab hours (specifically with regard to closing at 5:00 on Fridays) The students want longer lab hours on the weekends, especially when final projects are due.

If you have any other concerns that you would like expressed you must email me, or if you are too lazy you can just leave comments here and I'll do what I can.

3.3 3D Motion Library with OSU (Smith) Will informed the department of a potential liaison with Ohio State University New Media 3D Motion Library. He advocated inter-university loaning and sharing and further indicated there was no cost to the endeavor.

3.4 Graduate Feedback (Pickering) A former New Media student contacted the University and suggested the department focus more intently on preparing students for the work force by emphasizing formal presentations. Discussion ensued regarding incorporating such presentations into established courses. In its deliberations, it was decided that a larger view of the overall course components and requirements of the New Media courses was necessary. To this end, it was suggested that course outlines of all classes be distributed amongst each instructor. It was further suggested that a retreat be established with a curriculum focus only, and that the date has been tentatively set for a mid-April time frame – sometime between the last day of classes and final exams.

V Items for Discussion/Action
4.1 W700 Report (Fai) Efforts to move and hook up the 1.4GHZ computers to 700B are progressing. W700K continues to be designated as the equipment room to which faculty and staff will have access (in a not yet determined format). Nick will inform everyone when this system is established and access is available.

4.2 Potential Candidate Advertisement (Smith) Lengthy discussion ensued regarding the rewording of the enclosed Assistant Professor – New Media Studies advertising handouts. Changes were made and will be forwarded to Angela Luck through Carl Granzow and will then be made available to the department members for perusal.

4.3 Macromedia Update (Fai) Nick received a 2-year computer software purchase quote from Nick Bensch regarding programs and their upgrades.

Carl requested all instructors to submit to him in writing, their computer software needs to facilitate and pursue future purchases.

4.4 Recruiting A/V Equipment to be used in the classrooms (Clearwater) It was recommended that the Recruitment Equipment which currently consists of a:

be housed in W700 and be made available for classroom activities.

4.8 Hard Drive Space (Fai) Students have been requesting additional hard drive storage space. To this end Nick Fai has suggested 3 ways to address this issue;
1) Purchase of additional had drive space at an approximate cost of $9600.00
2) Student purchased Portable Firewire Drives at a cost of $200 - $400 per student.
3) Re-writable DVD discs holding 4.7 gigs at a cost of $20.00 each.
Nick’s emphasis of support would be on either option 2 or 3.

5.1 TV’s (Fai) Nick has requested Will Smith remove the stored televisions from W700 as discussed in the previous minutes. Will indicted he would remove them directly after the meeting.

Art Poster Contest

Nursing Education in Southwestern Alberta (NESA) through the School of Health Sciences at the U of L and the Nursing Department at LCC, are sponsoring an art poster contest. All university or college students are invited to create a computer generated design and submit it as a full color poster (8.5" X 14") that will be used to visually "thank" the clinical preceptors that work with our nursing students. Possible themes include: caring, compassion, appreciation and collaboration. Quotes from nursing students regarding their clinical experiences will be added to the winning poster. The posters will be sent to clinical sites throughout Southern Alberta for display on bulletin boards and in staff coffee rooms. There is a $100 prize for the winning entry. Upon completion of the judging, the winner will be asked to submit an electronic copy of the winning submission. Please submit your poster to Wendy Herbers.

In many, if not all of, your New Media Classes the professors have probably been encouraging you to identify your copyrights by placing a copyright notice on your work. You may, however, want to consider reserving only specific rights while letting some rights out. The folks over at Creative Commons have two short flash movies explaining these new ideas.

Logging in to Class Shared Folders From Home

I've experienced some weird anomalies when trying to login to the Class Shared folders via FTP, but I can usually get it to work if I follow these basic steps.

If the link brings up a "The page cannot be displayed" error, try clicking your browser's reload button (F5 on IE). This happens intermittently to me.

You will probably then get a popup error message stating,

"Windows cannot access this folder. Make sure you typed the file name correctly and that you have access to the folder."

Along with some other unimportant details. Click OK.

Right click anywhere on the blank page you are now staring at. A small menu should appear with one of the options reading, "Login As..." Click Login As... and then enter your username and password. Then from there you should be able to browse the class shared folders.

Guest Artist Series - Michael Conway Baker Visits U of L

Mr. Michael Conway Baker has agreed to visit the Faculty of Fine Arts from the 9th to 11th of February, 2004.

Michael Conway Baker is considered one of Canada's most prolific and successful composers, with popular works in a variety of musical genres, including symphonic, ballet, film, TV, and special events. He has more than 180 film, television, and video music scores and 125 concert works to his credit and has received numerous awards including four Genies, one Juno, and two Geminis.

Some of his best known works include the Fanfare for EXPO 86, BC Pavilion film music at EXPO 86, the soundtrack music for TV series "A Planet for the Taking," the popular Canadian film The Grey Fox, and music for two episodes of "The Road to Avonlea."

Michael Conway Baker presents two public lectures entitled "Music for Films".

"I believe effective film music can only be produced when the music composed is first rate -- badly composed music played well is still bad music! I insist that all aspects of music production deserve a high standard of excellence," said Baker, who works out of his North Vancouver home with its full MIDI studio.

He has written, orchestrated, and recorded scores for symphony orchestras in Vancouver, Toronto, and Salt Lake City as well as Sinfonia of London (England) and Munich Symphony. His music is heard on radio, CDs, soundtrack albums, and television around the world. In 1998, Nostalgia/Goodlife TV Cable Network (US) commissioned 106 new ballroom dance pieces for their weekly series of competitive Ballroom Dancesport programs and he continues to compose in a variety of styles for the international Dancesport competitions.

Students should come with questions and be prepared to engage in skill building exercises. Workshops are Tuesdays and Thursdays from 12:15 - 1:30 pm in room W514. Students are not required to attend both sessions, but it is suggested that they do so.

Mathew Kabatoff is a term faculty in the U of L Department of New Media. In December 2003 he earned a MFA from the University of California San Diego where he specialized in new media, video/film production, and criticism. At UCSD he produced several video installations that utilized custom built software to arrange and display video narrative or related image elements over multiple video channels, dealing with topics such as airport security. Kabatoff has been consistently involved with the Banff New Media Institute organizing conferences and writing reports and reviews for in and out of house publication. He has also spent a one year term, 1999-2000 as an Assistant Editor at Rhizome.org.

Student Representative's New Media Faculty Meeting Report

Lab Availability
Mike voiced concerns at the last meeting that lab availability was not conducive to assignment due dates. How do you as students feel about lab times and what would you like done to increase the lab times available for us? This is especially problematic on weekends. Labs close at 5 Friday-Sunday.

New Media Showcase
The department is planning a tentative Media Showcase in the fall of 2004. They want us to ask around for ideas of how we, the students, would like to see it run. Some ideas were to have students submit there work to an adjudicating committee who would decide which works go in the show--kind of like the Music 2500 stuff last semester, other ideas were to allow students to show whatever work they wanted, and it would get voted on by category by the students (like a people's choice award), so that they can say--in a portfolio for example--that that certain piece won such and such
an award."

New Fonts
Neil Thomas has received approval for Lab Typeface programs. There will be a selection of new fonts available soon.

Motion: To Accept New Media Course 3830 as an elective for student experience. Smith/Prost Carried.

3.2.2 Daniela Sirbu in conjunction with David Clearwater will establish a New Course proposal and submit it for consideration at a later date.

3.3 Teaching Assignments (Granzow) Current teaching assignments (constructed by Linda Nicol and James Graham) are solid. Carl indicated he would be meeting individually with each instructor to further discuss their strengths and abilities for future assignments.

3.4 Resource Management - $100,00.00 of New Media equipment has recently been purchased and is being stored in W700.
3.4.1 Life Cycle Cost Study (Granzow) All previous New Media equipment is currently being evaluated for its life cycle potential. This will provide a more accurate insight into New Media’s ongoing capital replacement costs.

Neil Thomas suggested checking into the possibility of selling software and licensing as a revenue recovery strategy

Carl encouraged all Faculty to apply for grants.

3.5 Faculty Research (Granzow) Carl reported that Dean Ches Skinner strongly encourages research within the department and supports all in doing so. He encourages all to apply for research grants and promotes a renewed emphasis on publication.

3.6 Space Requirements (Granzow)
3.6.1 Sound Capture Studio is continually being worked upon with construction commencing as soon as possible.
~ The Canwest computers will be moving to W700B and will be up and running for the summer semesters.

3.6.2 W700 Renovation and Move – may begin within one month
3.6.3 Film Video Studio – W426 will revert back to a film video studio again.
3.6.4 Storage Space (Fai) W700G & W700J will combine to create the sound studio – W700K will become the equipment room with W700F possibly becoming storage.

TV’s currently being stored in the Canwest Global Room will be moved to occupy Will Smith’s office.

Carl has asked that all faculty members consult with him regarding arising space issues as he entertains a constant affiliation with Helen Henderson, Physical Plant, Director’s Office.

3.7 Equipment Insurance (Pickering/Granzow) Anna suggested procuring camera insurance. Nick Fai will contact Nick Bensch, Materials Management, to discuss the particulars of obtaining insurance for cameras and dat records. Fai will report findings at a later meeting.

3.8 Lab Times (Atwood) Student Representative voiced concerns that the lab availability was not conducive to assignment due dates and indicated that students are requesting additional (24 hour) access to Canwest and B519 – B520 labs.

It was noted that a swipe card access mode is being installed in the Canwest Global rooms and should be in operation within a couple of weeks, making access easier.

When renovation begins, W700 will be redesigned as a rendering farm with more computers available for use – policy yet to be determined.

3.9 Internship Fees for International Students (Atwood) Decisions for foreign student internship fees are made at the Provincial level and students are encouraged to investigate grants from within in their native countries.

David Clearwater suggested that the New Media Student Society my be interested in creating information banks to house such information.

3.10 New Media 4850A Description – Seminar in Interactive Technology (Thomas/Clearwater) General confusion as to the origin of the title and the sequencing. Resolved by David Clearwater

3.11 New Media Conference Discussion (Kabatoff) Please refer to New Media

4.1 Lab Typefaces (Thomas) Please refer to “Typeface” handout. This purchase is designed to facilitate computers in either B519 or B520 or a combination of both rooms totaling 5 computers. It was proposed to add Open Typefaces to the potential purchase.

Lab Typeface programs with the acceptance of a variation of fonts.

3rd Annual Poster Design Competition

The Annual Poster Design Competition is accepting submissions. Competition details are available on a Gallery webpage:
here and in a hardcopy format, in the brochure stand next to the Art Gallery entrance on level 6.

This competition is open to any U of L student registered in an Art or New Media course during the spring semester of 2004 (Jan - April).

There is a $100 cash award, which will be presented to the winning designer at the awards presentations during the opening reception for the Annual Juried Student Exhibition, 8pm, Friday, March 19.

Student for a Day Volunteers

We received a request for New Media students willing to help with the
'Connections - Student for a Day' program. It involves the following -

"Our "Connections" 'Student For A Day' program is a very crucial
recruiting tool that we use with grade twelve students. We team up high
school students with U of L students for a day, take them to classes,
introduce them to campus life, give them a tour, and even buy them
lunch! It's a very successful program that has really grown."

Many of the students who are interested in participating in
"Connections" want to look at the New Media program, however they do not
have any New Media students who have yet volunteered to help. As New
Media is a very sought after program, it would be great for these
interested students to get an idea of the program through the eyes of
our own students.

They have most of the scripts translated into English. This is a non-licensed show and they have all of the episodes on computer.

Disney Continues 2D Cuts

Just recently, Disney shut down their Florida studio, with some animators transferred to Disney's Burbank studio, and others being left out of a job. This has brought criticism from Roy Disney, the nephew of Walt Disney. And to top it off, Disney may be facing new competition from Legacy Animation, a new animation studio that was formed by ex-Disney animators."

Student Webspace on the Prototypical Server

I received an email from Neal Thomas about the possibility for hosting a student webspace on the prototypical server. Neal was talking about hiring on a database person and an ASP programmer. There will also be opportunities for students to help out with design and upkeep. If any students are interested in helping out with the webspace then please contact either of your student reps or Neal Thomas.

New Font Faces are on Their Way

In an email to the department Neal Thomas writes:

Hi all;

I have compiled a good collection of typefaces that we should install next term for students that are clamouring for modern professional type. The next step up from my list here would be to purchase an entire line of type from a company like Monotype or Adobe. The license for these types of CDs (with upwards of 1,200 typefaces each) is around $4400.00 US. I believe that my selections are a good compromise as they will give students a substantial choice without causing them to be overly baffled by the options afforded with a CD from Monotype.

I propose that we purchase the Monotype Upgrade Library which contains around 400 typefaces. It's a good package because the bias is towards sturdy modern sans serif typefaces. Student gravitate towards these anyways, and the typefaces are most apt for use on a screen - good for our video titling, graphic design, interactive, modeling and motion graphics environments. That said, there are numerous handwritten style typefaces, dingbat sets, and several excellent serif samples as well.

I propose that we supplement these serif samples with a few other serif font volumes from Emigre, who are well known for their interesting well-constructed faces. This will give students a great palette to work with overall.

I Reviewed new Media Retreat Discussion Guide with the additions of:
1.5 Assignment Discussion
12.3 Public support of students and their work (Smith)

1.1 Department Philosophy – past/present/future/growth model
It was stated that some of the New Media attractions of The University of Lethbridge were its broad base of programs; cross platforms and that the direction of its education was to produce successful entrepreneurs in their desired fields.

It was further stated that the quintessence of the department and its degrees were art and skill based, making students adaptable to change. The expansion of courses to include music, print design and video filming has been advantageous, however, it was stated that 4th year students are still lacking the experience in technical skills necessary for successful internship and there exists considerable concerns with student portfolios.

Carl stated the strength of the Fine Arts Faculty is the “ability for all other departments to mesh” together and create a uniform learning environment.

A number of future evaluative measures were suggested for consideration of the department growth model and include, but are not limited to:
~ Developing a department wide system of critique or platform/guide for students and faculty (separate from course evaluations
~ A survey as to what Digital Imaging Processing is as a whole
~ Panels and public discussion critiquing, similar to the Art Now class
~ A survey of other universities and their programs
~ Senior Studio – an opportunity for rigorous constructive critiquing and discussion of student work in any given area.
~ Formal student organizations, (i.e., student representatives)
~ “How to:” Discussions to:
Manifest the philosophy of program
Understand portfolio diversification importance
Learn essential problem solving skills

1.2 Graduate Studies – The discussion surrounded potential future cooperative associations in graduate programs and was deemed too premature for debate.
1.3 Interdisciplinary Degrees – It was suggested that Interdisciplinary Degrees may be difficult to introduce and integrate into New Media programs and that Internship may prove to be a challenge, although a possibility of a Co-op was suggested. Also, such degrees are limited by ACCESS funding. It was resolved that a meeting would be established with Computer Sciences and MIS to discuss specifics.
1.4 Strategic Priorities Document – Please refer to the Department of New Media – Meeting the Strategic Plan Document handout in conjunction with the University of Lethbridge Strategic Plan, 2003 – 2008, by Dr. Bill Cade, approved by the General Faculties Council and The Board of Governors which may be found here:

II Curriculum
2.1 Current/Future/Refinement/Growth – Suggestions for future curriculum growth to be considered were:

~ Documentary on Fiction Film Making
~ Writing for Animation
~ History of Animation
~ Possible On-Line Conference-like classes for those with time restraints or traveling issues.

MOTION: To nominate Neal Thomas and David Clearwater to form a committee on developing future curriculum.

2.2 Assignment Discussion – Course Assignments – It was stated the
Dean had relegated assignment choices to the Chair, who then
assigned courses according to individual specialties. James will
finalize Spring, Summer and Fall 2004 assignments with Linda Nicol
before his parental leave which commences in January.

Student Class Assignments – Concerns were voiced that students were
indicating a hardship in completing all of the assignments required. It
was suggested that all course syllabi be put on line and students
encouraged to consider the course requirements before registering.
Further discussion suspended until new course evaluations are returned
and instructors can review workload requirements.

III Hiring
3.1 Current/Future – The department has potential for 1 and possibly 2 new hires, and the following are areas of consideration:
~ Equipment Distribution Tech
~ Interdisciplinary Masters Instructor
~ Web Based Skills – Non Studio Hire
~ Video Imaging Person
~ Well founded in foundation courses

James emphasized the importance of a search committee acting on investigating hires for these positions as soon as possible.

IV Evaluations
4.1 Department Specific Questions – Minor changes to the New Media Lab based on-line evaluation questions. Evaluations will be up and running by Tuesday, November 25, 2003 for New Media.

10.1 Sound Lab – The estimate sits at between $36,000 - $44,000.00
10.2 New Media Resource Center – Space is the continuing issue.
10.3 Library Film/DVD Collection – Growing slowly. David Clearwater will approach Brian Black of the Music Department to discuss his experience with the Music Library Collection
10.4 Conferences/Symposia – James informed the Dept. members that he was making progress putting together a conference for Fall, 2004. The focus of the conference will be the current trend towards the convergence of film and gaming. If you have any ideas or suggestions for upcoming New Media Conferences or symposiums, please see James Graham

10.5 Film/Video Studio – a budget has yet to be established.

10.6 Concerts/Presentation – Will indicated that there were 21 out of 22 works presented at the November 7th & 14th joint New Media/Music concerts entitled, Music, Machines & New Media. Over 100 individuals attended both performances. Revenue figures will not be available until after December 5th. The series co-director position is available for next year.

10.7 Regular Student Exhibitions (Graduate Show) A brief discussion ensued regarding possible student exhibitions and included such suggestions as;

~ Open Forum Showcasing
Will encouraged all to show public support of New Media students and their work

Carl also reiterated the importance of showing departmental support and encouraged all to attend upcoming events.

It was suggested that two (2) X-Epson Projectors be purchased for public projection.

11.1 Use & policies of specific classrooms/labs/rooms/equipment – Arlan Schultz, Rolf Boon, (Music Faculty) and Neal Thomas will continue to meet to discuss policies for use of the music studio.

III Items for Information
3.1 New Media Mixer – (Graham and Clearwater) It was reported that the New Media Mixer held on Thursday, October 23, 2003 – 7:00 – 11:00 p.m. in the Zoo was a fine success. All went smoothly and all students and guests seemed to enjoy themselves.
3.2 New Media Strategic Planning Document – (Graham – Please refer to the ‘MEETING THE STRATEGIC PLAN – The Department of New Media’ hand out) Follow up report on the Strategic Planning Document submissions that the department was asked to review and respond to. Responses will be forwarded to Carl Granzow and forwarded onward to President Bill Cade.
3.3 Update – New Media Concerts (Smith) See below for details;
New Music/New Media Concerts Nov 7 and Nov 14 - Update
Presented at dept meeting.
A. 9 New Media students are so far involved, and a 10th student took our NMED1010 Youngsil Kang, Matt Laycraft, Lowell Taylor, Chris Skinner, Mouki Butt, Kerry Harwood, Jamie Easton, Kelli Tomson, Chris Vance [Mike Wearing]. Because we anticipate 8 other student projects, the number of New Media students could be larger.
B. Bob Cousins will ask in his creativity class for four ushers, 2 per night.
C. Comp ticket for each member of the department for each concert.
D. If there is someone from our classes who might like to help with the technical end, please alert your instructor. Someone suggested Ryan Godson.
E. Neal Thomas is designing a screensaver
F. Neal will see if there is a student in his design class to layout the program. This activity will need to occur Nov. 3 and 4.
G. Daniela Sirbu assisted with Rolf Boon and Will Smith, will adjudicate the NMED3680 projects.
H. We may need to use a DVD player - a MACI Sony may be possible.
I. Gerry Prost requested a screensaver GIF for his website and Neal will make one available
J. It was suggested to also send a gift to Pat Horrocks, Neal Thomas will provide this.

IV Items for Action
4.1 Music’s Visiting Speaker co-funding request. (Graham) Rolf Boon of the Music Department has contacted James Graham of the New Media department to request $500.00 of a $1,000.00 fee for Visiting Artist, Film Composer, Michael C. Baker. This decision was tabled to an email vote. Bob Cousins - in favor.
4.2 Counselor’s information kit Committee – (Graham) Information kits to be distributed to interested and potential New Media students under construction. Anna to supply text.
4.3 Retreat Date/Location (Graham) The fall New Media Retreat date has been tentatively set for Saturday, November 22, 2003. at 10:00 a.m. Location unknown at the present. Please submit location suggestions and date confirmation to Jill as soon as possible.
4.4 Infrastructure A/V Expenditures (Graham) James indicated there is a total of $70,000.00 available for AV expenditures. The following is a wish list of items desired:

VCR
Portable Recording Systems Rack
Mini CD Recorders/Players
Game Cube
Disc (Recorder/Player)
4.5 Standardizing MOCAP training experience for students
(Graham/Smith) It was suggested creating a new class with the
sole purpose of training students would be advantageous.

V Other Business
3.1 Review of Tech Specialist Position (Graham) James indicated that he has met with Nick Fai to review his workload, responsibilities and to clarify priorities. James indicated further, he will draw up an official job description for the Tech Specialist Position and will meet with other department Chairs to discuss the use of the Tech Position within the FFA.

Saving Your Work at School From Home (and Vice-Versa)

Get an Ftp program (like WS_FTP or if you don't like trial versions look for free one at thefreesite.com.)

If you're too busy to download an FTP program then you can just use internet explorer. Connect to ftp://files.uleth.ca and then when it comes up with an error saying you need to have permission to access the drive, right click on the browser window and click "Login As ...". A new window will pop-up asking for your username and password. Type them in and then your w:/ drive (webdrive) will appear.

If instead of w:/ you want to access the s:/ (the classes shared drive) change the address bar to the following:

ftp://files.uleth.ca/../../classes/clssubj/nmed/

and then click on the class you want access to. It is substantially faster and more reliable if you type in as much information as you have, so if you know that you want to access your personal folder in your 3030a class, type the following in the address bar:

ftp://files.uleth.ca/../../classes/clssubj/nmed/
nmed3030a/firstname.lastname/

I found that the FTP programs listed above were far more reliable than Internet Explorer's built in FTP. Hope this helps.

Rolf Boon sent out an email to the New Media Faculty to let them know that Michael Conaway Baker has accepted our invitation to guest lecture. He is tentatively scheduled for Monday, Feb. 9 to Wednesday Feb. 11.

"To date his visit includes: a Composition Master Class with Arlan, a visit
with the MU2500 Tuesday night class for a discussion on the Industry, and
a open lecture demonstration for the Fine Arts community. Please let me
know if you would like him to speak to your class or group and provide
times and locations.

"Mr. Baker is a multi Genie, Actra, and Juno Award winning film and
contemporary music composer. I will provide more information once I begin
setting an intinery for him.

Disney making room for 3D

Here's a great Slashdot article and discussion thread about Disney's abandonment of traditional, hand-drawn animation (which Disney has sworn, for years, it would never give up), in favor of 3D, computer-generated work.

Supposedly, all of their animators-- even staunch traditionalists such as Glenn Keane-- are being trained on 3D computer animation techniques. The last hand-drawn high-budget Disney feature scheduled for release is Home on the Range, which is due out next April. It appears that Disney is bowing to the supposed pressures of the market, even though the hand-drawn Lilo and Stitch was considered a success and the all-CG Dinosaur (done at Disney's now-defunct FX house The Secret Lab) was not. However, I believe there's another factor at work: Pixar's contract with Disney is set to expire soon, and the revered CG house has been making their own demands of Disney for the contract's renewal.

3.3 Sound Studio Progress Report - James reported that he, Neal
Thomas, Arlan Schultz, Rolf Boon and Ed Jurkowski have met
and are hammer out details.

The Sound Studio will be open to FFA Students with training
such as, Music and Computer students. Specific training
will be offered to interested students. Details to usage are still
being addressed.

3.4 Student Representative Elections – James publicly thanks
2002 – 2003 Student Representative Jeff Milner and indicated 2003 - 2004 elections will commence shortly.

IV Items for Action
4.1 New Hire Direction – It was decided the briefly discussed New
Hire positions will be reviewed in detail during the New Media
Retreat (no date currently set).

4.2 Strategic Planning Document – James asks that the on line
document, which may be found at the following site :
